Who can use it

Workforce Hub is for current employees and HR staff of Workforce Hub Ltd. Access is given by HR and is personal to you. It ends when your employment ends or HR removes it.

Your account

• Sign in only with your own Microsoft work account. Never let anyone else use your account or sign in for you.
• Tell HR or IT straight away if you think someone else has accessed your account.
• You are responsible for what is done with your account.

Using it properly

• Keep the information you give accurate and up to date, including your contact and emergency details.
• Book leave honestly and in line with the company's leave policies. Requests are subject to approval and to the balance your policy allows. Booking a request does not guarantee it is approved.
• Managers and HR must decide requests fairly and only for the people they are responsible for. Nobody may approve their own leave.
• HR may book, change or cancel leave on an employee's behalf. The employee is told who did it, and it is recorded.

Confidential information

You may see information about other people through your role, such as your team's leave or, for HR, personal records. Treat it as confidential, use it only for your job, and do not copy, export or share it except as your duties and company policy allow. Misuse of personal data may lead to disciplinary action and can be a legal offence.

What is recorded

Sign-ins, changes to records, approvals and exports are logged for security and accountability. Records are used as set out in the Privacy Policy.

Not allowed

• Trying to access records or functions you have not been given.
• Trying to bypass security, or to disrupt or overload the system.
• Entering false information, or using the system for anything other than company business.

Availability and changes

We aim to keep Workforce Hub available but do not promise it will always be uninterrupted or error free. Leave balances are calculated from your policy and the records held. If you think something is wrong, tell HR and it will be checked and corrected. We may update the system and these terms from time to time; we will update the date at the top, and continuing to use Workforce Hub means you accept the update.

Governing law

These terms are governed by the laws of Malta, without affecting any rights you have under the law where you work.
